HotelWin is a standalone reception software with invoicing and checkout designed for accommodation facilities of any size.

• Graphic accommodation calendar - provides instant visual information about hotel occupancy over time - clearly by day and room (bed) on bookings, guests and completed accommodations in a range, status colors and cell sizes (date x room) that you can set yourself. All reception activity can be carried out from this graphical calendar, where clicking on a vacant room in the calendar day column will record a new reservation or directly the accommodation of a new guest. Clicking on an occupied room with a name opens the card of that guest.
• From the guest card, control the entire accommodation process - from booking, to accommodation, to billing (invoicing) just by changing the status drop-down list on the guest card. Selection from the records of previously accommodated guests. Offer of available rooms / beds. Elimination of other beds in the room (guest wishes to be alone) or roommate registration - direct creation of roommate cards and their overview on the card of this guest. Accommodating more guests in a room than there are beds (for regular rotation of guests). It is also the guest's account, where user configurable prices for accommodation and other services and fees are collected. It is also used to invoice the guest and the entire group/company, including printing receipts. Nothing more is overwritten anywhere.
• Guest book - overview and changes of guest cards - the same record of guest cards, only expressed in the form of a list, which can be sorted and selected in various ways, printed, search for guests according to various criteria in the history since the beginning of the system.
• Guest book extracts, statistics on occupancy over time and capacity utilization, extracts and totals of services and charges drawn. Electronic notification of accommodation of foreigners.
• Daily check-in and check-out schedule - overview of all check-ins and check-outs based on reservations and check-outs on the current date, or on a selected date from the past or the future, with the possibility of printing, e.g. for the cleaning service. Access to guest cards.
• Receipts/invoicing, checkout - issuing receipts/invoices from guest account and separate invoicing. Printing of invoices in German and English with logo, stamp and signature with output in EMF and PDF for emailing. Different currencies - it can be selected already on the guest card in which currency the invoice will be billed. Cash register - summing up for the selected period (day, shift, week, month) in statements, tracking daily cash receipt. Possibility of payment in foreign currencies.
• GDPR - restriction of access to functions by logging in authorized persons, encryption of backups, printing of consent to personal data processing, bulk deletion of records on individuals or just anonymization of some data after a specified period of time.
